Facility Rental Policy

Payment

Deposits + Invoicing

All rentals require a non-refundable deposit to secure the booking.

  • All bookings, including those on a payment plan, require a 50% deposit of the total rental amount.

Invoices are sent upon approval and must be paid within 48 hours. Unpaid invoices will be canceled and the dates released.

Final Payments

  • Rentals scheduled to begin within 14 days must be paid in full at the time of booking.

  • For all other rentals, the remaining balance (after the 50% deposit) must be paid in full no later than 14 days before the first rental date, unless the booking is on an approved payment plan.

  • For approved payment plans, monthly payments are due on the 1st of each month during the rental period.

  • Unpaid balances may result in cancellation and forfeiture of the deposit.

  • Late payments, if accepted, will incur a 10% late fee.

Payment Plans

Payment plans may be offered at KST’s discretion for rentals that:

  • Total more than $1,000, and

  • Begin more than 14 days from the booking date

Terms:

  • A non-refundable deposit equal to 50% of the total rental is required to secure the booking.

  • The remaining balance will be split into monthly payments, due on the 1st of the month during the rental period.

  • All payments are non-refundable once made.

  • Missed or late payments may result in cancellation and forfeiture of all prior payments.

Payment Methods & Fees

Credit card payments are subject to a 3% processing fee. To avoid this fee, you may hand-deliver cash or check directly to Beth on or before your payment due dates.

Cancellations & Early Termination

  • Cancellations made more than 14 days in advance will forfeit the deposit.

  • Cancellations made within 14 days of the rental are non-refundable in full.

  • For multi-month rentals, early termination requests require 30 days’ written notice. Renters remain responsible for the full contract unless KST is able to rebook the time. Refunds or credits, if any, are at KST’s discretion.

Credits

Credits for unused time due to weather or other unforeseen issues may be granted at KST’s discretion.

Age Requirement

Please be aware that the individual or group representative reserving and renting any KST facility must be at least 21 years of age.

Clean-Up/Site Restoration

Normal clean-up shall be performed by the renter. The area should be left in the condition it was received. This includes, but is not limited to grounds, and parking lots used by the renter. All wastepaper and other trash must be thrown away in the appropriate designated trash containers. Damages caused to any part of the facilities or grounds as a result of this rental are the responsibility of the renter. A $100 per day penalty following the rental that KST is not cleaned up by renter will be assessed, and an hourly rate of $30 per hour will be charged for clean up if renter fails to comply with clean up agreement. Other fees: renter is responsible for the actual cost of support services necessitated by the rental group.

Signage and Advertising

No signage, banners, tents, equipment, or other apparatus may be located on the facility unless the use and location has received prior approval. All advertising (except that which is incidental to the current rental) and all sale of merchandise or other materials, is forbidden on premises, unless specific approval is obtained prior to rental.

Weather Policy

KST will make weather-related decisions at its discretion. If KST cancels a rental due to weather before the reserved time, efforts will be made to reschedule. If rescheduling is not possible, the renter may receive a credit for the unused rental time at the owner’s discretion. To prevent damage, KST may close or restrict facility use after severe weather or heavy rain. Renters must stay off the field if there is standing water.

For safety, all activities must stop if thunder is heard or lightning is seen. Players, coaches, and spectators should return to their cars and wait 30 minutes from the last thunder sound or lightning sighting before resuming play. Standing under the pavilion during weather delays is not permitted. Play may resume 30 minutes after the last thunder or lightning sighting.

Facility Conditions

The client agrees to inspect the facility upon arrival. If any issues are noted, the client must notify the KST employee on site within the first half hour. If the issue can be fixed immediately (e.g. cleaning, lighting, temperature), we will do our best to address it quickly to allow you to continue with your rental. If the facility is deemed unfit, a partial refund or rescheduling may be offered at the discretion of KST. Please note that the nonrefundable deposit will still apply. If no issues are raised within the first half hour of the rental, the client is considered to have accepted the facility as suitable for their use, and no further claims or requests for refunds will be entertained.

Field Conditions and Closures

For all baseball/softball diamond field rentals, practices may be canceled due to factors such as rainfall, snowfall, and weather forecasts. KST will notify the contact person listed for the rental if there is any standing water on the field. KST reserves the right to cancel or close any field rental due to poor conditions and may reschedule the rental day/time if necessary. If KST closes the fields, credits will be issued for unused time at the owner’s discretion. Renters who do not comply with field closures may face future rental restrictions and removal from the premises.

Parking and Vehicles

Parking is allowed in designated lined parking spots only. No unauthorized vehicles are permitted to be on grass, sidewalks, trails, fields, etc. Parking of vehicles is the responsibility of the renter. Parking of vehicles overnight (including camping) is prohibited.

Alcohol Use

Alcohol is not permitted on the premises. NO EXCEPTIONS.

Days/Hours of Use

Renters must have an application on file in order to use any facilities of KST with a confirmation email ready to be shown at any time to KST staff. Renters are only authorized to utilize the specific areas requested for renting that were approved in the rental application process.



Seasonal Temperature Guidelines

All dome and cage areas are equipped with radiant heat in the winter, for a comfortable environment year-round. However, please note that despite our efforts, temperatures in these spaces may still feel cold in the winter or warm in the summer. Athletes and spectators should plan accordingly and dress in layers or bring additional clothing for comfort. During the summer months, all dome and cage areas rely on natural ventilation to maintain airflow, as there is no air conditioning. Doors can be opened to help keep the space as comfortable as possible. Athletes should dress appropriately for warmer conditions and stay hydrated during activities.
